Qué vas a conseguir
|---|---|---|
| Microsoft 365 Business Basic y Standard | 100 GB | 50 GB |
| Microsoft 365 Business Premium | 100 GB | 1,5 TB con expansión automática |
| Microsoft 365 / Office 365 E3 y E5 | 100 GB | 1,5 TB con expansión automática |
| Office 365 E1, Exchange Online Plan 1 | 50 GB | 50 GB (más con el complemento Exchange Online Archiving) |
| F3 | 2 GB | No incluido |

What you'll get
Fixing a full mailbox in Exchange Online properly: measuring how much it holds and what its limit is, finding which folders fill it, turning on the online archive with a policy that moves old mail without the user doing anything, and understanding why a mailbox is sometimes "full" even though the user doesn't see that much mail. Without deleting any of the user's mail without their agreement.
Before you start
- The Exchange Administrator or Recipient Management role, the
ExchangeOnlineManagementmodule andConnect-ExchangeOnline. - The user's licence: it sets the maximum size of the mailbox and the archive. You can't raise the quota above what the licence gives; only lower it.
- Knowing whether the organisation uses holds (litigation, eDiscovery, Purview retention policies): they change what happens to deleted mail.
1. How big it is and how big it can get
Get-EXOMailboxStatistics -Identity marta.leon@contoso.com | Format-List DisplayName, ItemCount, TotalItemSize, TotalDeletedItemSizeDisplayName : Marta LeónItemCount : 412873TotalItemSize : 49.62 GB (53,279,123,456 bytes)TotalDeletedItemSize : 12.08 GB (12,970,868,736 bytes)Get-Mailbox marta.leon@contoso.com | Format-List IssueWarningQuota, ProhibitSendQuota, ProhibitSendReceiveQuota, RecoverableItemsQuota, ArchiveStatusIssueWarningQuota : 49 GB (52,613,349,376 bytes)ProhibitSendQuota : 49.5 GB (53,150,220,288 bytes)ProhibitSendReceiveQuota : 50 GB (53,687,091,200 bytes)RecoverableItemsQuota : 30 GB (32,212,254,720 bytes)ArchiveStatus : None- TotalItemSize is what the user sees and what counts towards the quota. TotalDeletedItemSize is the Recoverable Items folder, invisible to them and with its own quota.
- The three thresholds: warning (they get an email), prohibit send (they can't send) and prohibit send and receive (Exchange rejects incoming mail and the sender gets an NDR).
- This mailbox's quota is 50 GB: either its licence gives that (Office 365 E1, Exchange Online Plan 1) or someone lowered it by hand. Compare with the table in section 5.
The size Outlook shows locally (the .ost) is not the mailbox size: reducing the offline mail period lightens the device, not the server.
2. What is filling it
Get-EXOMailboxFolderStatistics -Identity marta.leon@contoso.com | Sort-Object { [int64]($_.FolderSize -replace '^.*\(|,| bytes\)$','') } -Descending | Select-Object -First 5 FolderPath, ItemsInFolder, FolderSizeFolderPath ItemsInFolder FolderSize---------- ------------- ----------/Sent Items 98412 17.31 GB (18,586,329,088 bytes)/Inbox 187220 15.90 GB (17,072,394,240 bytes)/Inbox/Orders 64018 8.44 GB (9,062,334,464 bytes)/Deleted Items 41733 5.12 GB (5,497,558,138 bytes)/Archive 12090 1.97 GB (2,115,276,390 bytes)Get-EXOMailboxFolderStatistics -Identity marta.leon@contoso.com -FolderScope RecoverableItems | Select-Object FolderPath, ItemsInFolder, FolderSizeFolderPath ItemsInFolder FolderSize---------- ------------- ----------/Recoverable Items 0 0 B (0 bytes)/Deletions 88120 11.96 GB (12,841,693,184 bytes)/Purges 904 120.4 MB (126,248,550 bytes)/Versions 0 0 B (0 bytes)- Sent Items and an orders or invoices folder full of attachments are often half the mailbox.
- Deleted Items counts towards the quota: emptying it frees space, and what is emptied moves to Recoverable Items, which has its own quota.
- For the user: File › Tools › Mailbox Cleanup in Outlook shows the size per folder and finds items over 1 MB. Let them decide what goes.
Don't delete the user's mail, with Search-Mailbox or with a content search and purge, without their written agreement and without checking there is no legal hold. The mailbox may be evidence in litigation or hold the only remaining copy of a case file.
3. The online archive
The archive is a second mailbox for the user in Exchange Online. It shows in Outlook and Outlook on the web as another mailbox in the folder pane and doesn't count towards the primary's quota:
Enable-Mailbox -Identity marta.leon@contoso.com -ArchiveGet-Mailbox marta.leon@contoso.com | Format-List ArchiveStatus, ArchiveState, ArchiveQuota, RetentionPolicyArchiveStatus : ActiveArchiveState : LocalArchiveQuota : 50 GB (53,687,091,200 bytes)RetentionPolicy : Default MRM Policy- Also from the Exchange admin center: Recipients › Mailboxes › the user › Others › Manage mailbox archive.
- When the archive is turned on, the mailbox gets the Default MRM Policy if it had no other. Its Default 2 year move to archive tag moves anything older than two years to the archive, and Recoverable Items 14 days move to archive does the same with Recoverable Items after 14 days.
- The archive can take a while to be ready. Tell the user: old mail "disappears" from the inbox and shows up in the archive, with the same folder structure. Nothing is deleted.
4. A policy that moves sooner
If two years isn't enough (the mailbox fills up with a year's mail), your own policy with a one-year tag:
New-RetentionPolicyTag "Contoso 1 year to archive" -Type All -AgeLimitForRetention 365 -RetentionAction MoveToArchiveNew-RetentionPolicy "Contoso Archive 1 year" -RetentionPolicyTagLinks "Contoso 1 year to archive","Recoverable Items 14 days move to archive","Personal never move to archive"Set-Mailbox marta.leon@contoso.com -RetentionPolicy "Contoso Archive 1 year"Get-Mailbox marta.leon@contoso.com | Format-List RetentionHoldEnabled, ElcProcessingDisabledRetentionHoldEnabled : FalseElcProcessingDisabled : FalseStart-ManagedFolderAssistant -Identity marta.leon@contoso.com- Start-ManagedFolderAssistant queues the mailbox so the Managed Folder Assistant processes it now, instead of waiting for its cycle. Even so, moving tens of gigabytes takes hours or days: check
Get-EXOMailboxStatisticsandGet-EXOMailboxStatistics -Archiveagain the next day. - If RetentionHoldEnabled or ElcProcessingDisabled are
True, the assistant moves nothing. Someone set them for a reason: ask before clearing them. - The Personal never move to archive tag lets the user exclude a specific folder from Outlook.
- MRM policies coexist with Purview retention policies. If the organisation uses Purview, check with whoever runs it before creating a new MRM policy.
5. Licences, quotas and auto-expanding archiving
Values from the Exchange Online service description as of November 2026 (check them in Exchange Online limits, they change):
| Licence | Primary mailbox | Archive |
|---|---|---|
| Microsoft 365 Business Basic and Standard | 100 GB | 50 GB |
| Microsoft 365 Business Premium | 100 GB | 1.5 TB with auto-expanding |
| Microsoft 365 / Office 365 E3 and E5 | 100 GB | 1.5 TB with auto-expanding |
| Office 365 E1, Exchange Online Plan 1 | 50 GB | 50 GB (more with the Exchange Online Archiving add-on) |
| F3 | 2 GB | Not included |
- Each mailbox's real quota is what
Get-Mailboxsays, not the table: an administrator may have lowered it, and a mailbox created years ago may keep an old value. - Auto-expanding: with the right licence, the archive starts at 100 GB and grows in steps up to 1.5 TB. Turn it on per user with
Enable-Mailbox marta.leon@contoso.com -AutoExpandingArchiveor for the whole organisation withSet-OrganizationConfig -AutoExpandingArchive. It can't be turned off afterwards; new storage takes time to be provisioned. - Recoverable Items: 30 GB without a hold; 100 GB if the mailbox is on hold. When it fills up, the user can't delete ("The operation could not be completed") and sometimes can't accept meetings. With the archive on, the 14-day tag empties that folder into the archive.
- The archive is for the user's own mail. Copying other people's mail into a mailbox to archive it is not allowed under the service terms.
6. The ticket: "it says my mailbox is full and customers' emails bounce"
Tuesday, 10:20. Marta, in accounts, has the red Your mailbox is full bar in Outlook and can't send. A customer forwards her the bounce they got:
- Which threshold it has crossed:
Get-EXOMailboxStatisticsshows 49.62 GB against a 50 GB quota. It is past prohibit send (49.5 GB) and about to hit prohibit send and receive; some incoming mail is already bouncing. Rejected mail is not queued in Exchange: the sender has to send it again. - What her licence allows: Marta has Business Standard, which gives 100 GB, but
Get-Mailboxsays 50 GB. Someone limited it long ago or the mailbox kept the value it was created with. With the manager's approval, the quota goes back to the licence maximum:Set-Mailbox marta.leon@contoso.com -ProhibitSendReceiveQuota 100GB -ProhibitSendQuota 99GB -IssueWarningQuota 98GB. Within minutes she can send and receive again. - If it were already at the maximum, there is no quota to raise. The immediate relief is for Marta to empty Deleted Items (5 GB here) and move or delete the large attachments she doesn't need herself.
- The lasting fix: online archive and a one-year policy (sections 3 and 4),
Start-ManagedFolderAssistantand a check the next day. On Business Standard the archive stays at 50 GB; if it will fill up soon, the licence (Exchange Online Archiving or a higher plan) is a conversation with whoever pays for it. - Tell the senders: the customer and anyone who wrote that morning must resend. Marta does it from her own mailbox once it is fixed.
In the ticket: size before and after, old and new quota with who approved it, archive enabled, policy assigned, and the date you check the move has finished.
Next steps
- The first guide in this topic, shared mailbox, permissions and automatic replies, also covers the Outlook that won't open because of an oversized
.ost. - A monthly report of mailboxes above 90 % of their quota (
Get-EXOMailbox -ResultSize UnlimitedwithGet-EXOMailboxStatistics) keeps the problem from arriving as an incident. - Purview retention policies, litigation holds and content search are the next step when mail has to be kept or deleted by rule, not for space.
