Qué vas a conseguir
ExchangeOnlineManagement(Install-Module ExchangeOnlineManagement -Scope CurrentUser) yConnect-ExchangeOnline.
1. Buzón compartido
Connect-ExchangeOnlineNew-Mailbox -Shared -Name "Soporte Ventas" -DisplayName "Soporte Ventas" -PrimarySmtpAddress soporte.ventas@contoso.comAdd-MailboxPermission -Identity soporte.ventas@contoso.com -User GG-Ventas -AccessRights FullAccess -AutoMapping $trueAdd-RecipientPermission -Identity soporte.ventas@contoso.com -Trustee GG-Ventas -AccessRights SendAs -Confirm:$falseGet-MailboxPermission soporte.ventas@contoso.com | Where-Object User -notlike "NT AUTHORITY*" | Select-Object User, AccessRightsUser AccessRights---- ------------GG-Ventas {FullAccess}- FullAccess abre el buzón; SendAs permite enviar como el buzón; SendOnBehalf (
-ExternalMessage "I am out of the office until 10 November. For urgent matters, please contact soporte.ventas@contoso.com."
4. Outlook no abre o no sincroniza

What you'll get
Create a shared mailbox and give a team access, grant permissions on someone else's mailbox or calendar, set an automatic reply for someone who cannot (or has left), and a method for "Outlook won't open".
Before you start
- The Exchange Administrator or Recipient Administrator role (the latter is enough for mailboxes and permissions).
- The
ExchangeOnlineManagementmodule (Install-Module ExchangeOnlineManagement -Scope CurrentUser) andConnect-ExchangeOnline. - For permissions on someone else's mailbox, a ticket approved by the mailbox owner or their manager. Never on the request of the person who wants in.
1. Shared mailbox
Connect-ExchangeOnlineNew-Mailbox -Shared -Name "Sales Support" -DisplayName "Sales Support" -PrimarySmtpAddress sales.support@contoso.comAdd-MailboxPermission -Identity sales.support@contoso.com -User GG-Sales -AccessRights FullAccess -AutoMapping $trueAdd-RecipientPermission -Identity sales.support@contoso.com -Trustee GG-Sales -AccessRights SendAs -Confirm:$falseGet-MailboxPermission sales.support@contoso.com | Where-Object User -notlike "NT AUTHORITY*" | Select-Object User, AccessRightsUser AccessRights---- ------------GG-Sales {FullAccess}- FullAccess opens the mailbox; SendAs sends as the mailbox; SendOnBehalf (
Set-Mailbox -GrantSendOnBehalfTo) sends "on behalf of". Ask which one they want: it is almost always SendAs. - With
-AutoMapping $true, the mailbox appears in Outlook on its own within an hour (sometimes a restart is needed). For a group, automapping does not work in every version: if it does not show up, the user adds it by hand under File → Account Settings → More settings → Mailboxes. - A shared mailbox needs no licence if it is under 50 GB and uses no archive or litigation hold. Nobody should sign in to it directly: it has no password by design.
2. Permissions on someone else's mailbox or calendar
# Full access to the manager's mailbox (their assistant, for example)Add-MailboxPermission -Identity carlos.rey@contoso.com -User ana.sol@contoso.com -AccessRights FullAccess -AutoMapping $true# Calendar only: Editor can create and change, Reviewer can only readAdd-MailboxFolderPermission -Identity "carlos.rey@contoso.com:\Calendar" -User ana.sol@contoso.com -AccessRights EditorGet-MailboxFolderPermission -Identity "carlos.rey@contoso.com:\Calendar"FolderName User AccessRights---------- ---- ------------Calendar Default {AvailabilityOnly}Calendar Ana Sol {Editor}The folder name depends on the mailbox language: \Calendar in English, \Calendario in Spanish. If the command says the folder does not exist, try the other. And note in the ticket who approved the access.
3. Automatic reply for another user
For a leaver, a long absence or a user who cannot do it themselves:
Set-MailboxAutoReplyConfiguration -Identity laura.prado@contoso.com -AutoReplyState Scheduled -StartTime "27/10/2026 00:00" -EndTime "07/11/2026 23:59" -InternalMessage "I am out of the office until 10 November. For urgent matters, please contact sales.support@contoso.com." -ExternalMessage "I am out of the office until 10 November. For urgent matters, please contact sales.support@contoso.com." -ExternalAudience AllGet-MailboxAutoReplyConfiguration laura.prado@contoso.com | Select-Object AutoReplyState, StartTime, EndTimeAutoReplyState : ScheduledStartTime : 27/10/2026 0:00:00EndTime : 07/11/2026 23:59:00For a permanent leaver, -AutoReplyState Enabled with no dates, and the manager decides the text: never make up the reason for the absence.
4. Outlook won't open or sync
In order, stopping at the first that works:
- Does it work in the browser?
outlook.office.com. If yes, the mailbox is fine and the problem is the client. If not, it is the account (licence, password, MFA, lockout) and Outlook is not to blame. - Safe mode:
outlook.exe /safe. If it opens, it is an add-in: File → Options → Add-ins → Manage COM Add-ins → Go, and disable the third-party ones one at a time. - Connection status: with Ctrl held, right-click the Outlook tray icon → Connection Status. Everything has to be "Established"; if there is "Disconnected" with the mailbox fine in the browser, it is the device's network (proxy, VPN) or the profile.
- New profile: Control Panel → Mail → Show Profiles → Add. A new profile takes a while to download mail, but it fixes almost everything left. Don't delete the old one until the new one is confirmed working.
- OST file too large or corrupt: if Outlook opens but takes minutes or crashes, reduce the offline mail period (File → Account Settings → the account → Change → 1 year) or rename the
.ostin%LOCALAPPDATA%\Microsoft\Outlookwith Outlook closed: it is recreated.
A forwarding rule created by the user (or by someone who got into their account) is the cause of half the "I get strange emails" and "emails don't reach me" tickets. Get-InboxRule -Mailbox laura.prado@contoso.com lists them; if you see one forwarding outside, it is a security ticket, not a support one.
Next steps
- Every mailbox permission should go through a group, not through users: when someone changes role, you remove them from one place.
- A quarterly
Get-MailboxPermissionreport on executive mailboxes avoids audit surprises. - In Level 2 you'll see transport rules, DKIM/DMARC and message trace; in Level 4, Purview, DLP and sensitivity labels.
