Preparation with the company secretary (agenda, attendees in the room and remote, confidentiality), the board portal and tablets, the room check the day before, the test call with remote directors, a plan B with backup devices and phone dial-in, the day itself, what gets collected afterwards and what to do when a remote director cannot hear the room.

Qué vas a conseguir

What you'll get

A board meeting where the technology goes unnoticed: directors walk in, the papers are on their tablets, those attending remotely can hear and be heard, and nobody from IT is in the room when they shouldn't be. At a financial firm the board meets a few times a year, with people who aren't employees and items that can't leave the room. An audio failure at the board weighs more than any other ticket that month, and confidentiality matters as much as everything working.

Before you start

  • The contact at the company secretary's office (the company secretary and their team): they're your client for this meeting and decide everything that isn't technical.
  • The room: its kit model, its microphones and its status in the management portal, as in the Teams Rooms on Crestron guide.
  • Admin access to the board portal (the app where the papers are published) and to tablet management in the MDM.
  • Audio Conferencing licences for whoever organises the Teams meeting, so the invitation carries a phone number and conference ID.
  • One support person assigned to the board and a backup, both having read the procedure.

1. Preparation with the company secretary

Two weeks before, a short meeting with the company secretary to settle:

TopicWhat you need to know
Date, time and lengthIncluding lunch or the break, if there is one
AgendaWhich items are confidential and whether IT must leave the room for them
Attendees in the roomDirectors, guests for specific items (auditors, executives) and whether they bring their own devices
Remote attendeesWho, from where, on which device and with which account (employee, guest or no account)
PresentationsWho presents, from which device and whether there's video with sound
Recording and transcriptionThe company secretary decides; by default, no recording, no transcription and no Copilot
Plan BWhether the company secretary accepts a director joining by phone if Teams fails

With that, the Teams meeting is created, organised by the company secretary's office (not IT), with options suited to a board:

Teams · Meeting options
Board meeting · Options
Who can bypass the lobby?Only organizers and co-organizers
People dialing in can bypass the lobby
Who can present?Specific people
Record automatically
Allow CopilotOff
Meeting chatOff
Save
  • With everyone waiting in the lobby, the company secretary admits each person by name. If the board asks for it, someone from the secretary's office can be a co-organizer to admit people, and whoever presents, a presenter.
  • If the company has Teams Premium and sensitivity labels for meetings, a "Board" label sets these options and adds a watermark. Without Premium, they're set by hand and checked the day before.
  • The invitation, with the phone number and conference ID visible: it's the remote attendees' plan B.

2. The board portal and tablets

Board papers don't travel by email: they're published in the board portal, with individual access for each director.

  • Accounts: one per director, with MFA. Non-executive directors are usually the ones who need most help with MFA; sort it out weeks before, not the morning of the board.
  • Corporate tablets managed by the MDM: passcode, encryption, the portal app and little else. With remote wipe available if one is lost.
  • One week before: update the portal app and the tablets' OS. Never the day before: an update that changes the interface on board day brings calls.
  • The day before, when the company secretary publishes the papers: check on a test tablet that the pack downloads in full and opens offline. The room's Wi-Fi may fail; the papers mustn't depend on it.
  • Tablets charged, with their chargers, and two spares prepared with the same profile.

3. The room tech check the day before

With the room empty and no rush, in the afternoon:

  1. Teams Rooms: in the Pro portal the room is Healthy, with no incidents and no updates scheduled for that night or the morning of the board. If one is pending, it's postponed.
  2. A test meeting from the room with a laptop outside it (another room, or a phone at a team member's home).
  3. Microphone coverage: someone sits in each seat at the table, including the ends and the lectern, and speaks at a normal volume; the person on the remote laptop confirms each seat can be heard. Ceiling microphones cover zones the AV integrator configures in the audio processor; if one end of the table is weak, the integrator is told that same day.
  4. Content: connect the presenter's laptop (or an identical one) over HDMI and also share through Teams; with video, check the sound reaches remote attendees.
  5. The console: on the home screen, with the board meeting in the agenda and the Join button visible.
  6. Recording: confirm nothing records or transcribes by default, in line with what the company secretary decided.

Anything outstanding is noted and passed to the company secretary that afternoon, with the alternative.

4. The test call with remote directors

One or two days before, a 10-minute call with each director attending remotely, from the same device and the same place they'll join from:

  • They join with the invitation link (not a different one), in the Teams app or the browser, and land in the lobby as they will on board day.
  • That they can hear and be heard: Settings › Devices › Make a test call in Teams records and plays back their voice and shows which microphone and speaker they're using.
  • An audio device chosen on purpose: a headset with a microphone, better than the laptop speaker.
  • That they know the plan B: the phone number in the invitation with its conference ID, and a support phone number for the day.

5. The plan B

If this failsAlternative
The Teams Rooms roomA backup laptop in the room with a certified conference speakerphone, joined to the same meeting
The Teams meetingA second Teams meeting created by the company secretary, with the link already sent to remote attendees "just in case"
The director's connectionJoining by phone with the number and ID in the invitation
A tabletA spare tablet with its portal session
The room networkTablets have the papers downloaded; the backup laptop, a 4G router
  • The backup laptop doesn't join the meeting with its microphone open while the room is working: two devices with open audio in the same room cause echo.
  • The whole plan B is tested in the check the day before, not just prepared.

6. On the day

  • An hour before: room on, meeting opened from the console, tablets in place, backup laptop charged and switched off, and the Pro portal open on your device.
  • Discreet presence: support is visible at the start, while remote attendees connect, and then outside the room, reachable by phone or message with the company secretary.
  • Confidential items: if the company secretary has asked for it, nobody from IT enters the room during those items. From outside, the Pro portal shows whether the room is still in the meeting with no issues; if someone needs to go in, the company secretary decides when.
  • Nothing heard or seen in the room is mentioned, not even in the ticket. The ticket records the technical side: what failed, when and how it was solved.

7. After the meeting

  • Tablets: collect them all and count them against the list. If the portal allows it, papers are withdrawn or expire according to the company secretary's policy; if a tablet is missing, lock and remote wipe from the MDM and tell the company secretary.
  • Temporary files: on the presenter's laptop, if it's a company one, delete local copies of the presentations (Downloads, temp folders, the desktop) with its owner's agreement; on the backup laptop, sign out and delete anything downloaded.
  • Whiteboards and room content: check nothing is left on the displays, digital whiteboards or the console.
  • Loaned devices (headsets, chargers, spare tablets) returned and logged.
  • Five minutes with the company secretary the next day: what worked, what didn't and what changes for the next board.

8. The ticket: "a remote director cannot hear the room"

Thursday, 10:05. The board started five minutes ago. The company secretary messages: a director attending from London says they can see the room but can't hear anything.

First, which side it's on. If the other remote attendees hear the room, the problem is on the director's side. If nobody remote hears the room, the problem is in the room. The company secretary asks by chat or phone, without interrupting the meeting.

If nobody remote hears the room, the fault is in the room:

  • Mute on the console: someone pressed the microphone on the console or a mute button on the table. In the meeting, the room's microphone icon shows crossed out.
  • The selected microphone: if the room computer has picked another device as the microphone (a cable change, a reboot), the room's audio doesn't go out. In the Pro portal, Settings › Peripherals › Conference Microphone, or on the console, More › Settings with the admin password, check it's the ceiling microphone or the room's audio processor.
  • Coverage: if only the person speaking at one end of the table can't be heard, it's the ceiling microphone's zone, not a fault; ask that person to speak towards the centre and tell the integrator for afterwards.

If only the director can't hear, the fault is on their side. By phone with the director:

  • The speaker selected in Teams: in the meeting, the arrow next to the microphone button shows which microphone and speaker are in use. The usual cause is Teams picking a Bluetooth headset that's switched off or a monitor's output with no speakers.
  • The volume of the system and of Teams in their device's volume mixer.
  • If nothing works within two minutes, the plan B: they join by phone with the number and ID in the invitation (or the company secretary dials them from the meeting's People panel) and keep the computer's video without audio to avoid echo. The company secretary admits them from the lobby.

Check: the director confirms to the company secretary that they can hear and be heard.

In the ticket: time, which side the fault was on, the cause (mute, selected device, coverage or the director's device), how it was solved and how long it lasted. If it was the room, an action for the next board's check.
