Microsoft Teams Rooms: poner en marcha una sala y supervisarlaMicrosoft Teams Rooms: bringing a room online and keeping an eye on it

Resource account, licence, device sign-in, peripherals and the Pro Management Portal. Plus the typical Monday-morning room failures.

Qué vas a conseguir

PowerShell · Exchange Online + Graph
Connect-ExchangeOnlineNew-Mailbox -Room -Name "Sala Madrid 2.1" -Alias sala-mad-21 -PrimarySmtpAddress sala-mad-21@contoso.comSet-CalendarProcessing -Identity sala-mad-21 -AutomateProcessing AutoAccept -AddOrganizerToSubject $false -DeleteComments $false -DeleteSubject $false -RemovePrivateProperty $false -ProcessExternalMeetingMessages $trueSet-Mailbox -Identity sala-mad-21 -Type Regular # permite iniciar sesión; después vuelve a Room si tu política lo pideConnect-MgGraph -Scopes "User.ReadWrite.All","Organization.Read.All"Update-MgUser -UserId sala-mad-21@contoso.com -UsageLocation ES -PasswordPolicies DisablePasswordExpiration -AccountEnabled:$true$sku = (Get-MgSubscribedSku | Where-Object SkuPartNumber -eq "Microsoft_Teams_Rooms_Pro").SkuIdSet-MgUserLicense -UserId sala-mad-21@contoso.com -AddLicenses @{SkuId = $sku} -RemoveLicenses @()

Modo compatibleExchange y Teams
Dirección de Exchangeautodetectar
EstadoTeams conectado · Exchange conectado · Calendario sincronizado
Guardar y salir

What you'll get

A meeting room with Microsoft Teams Rooms (MTR) that shows up in the calendar, joins meetings with one tap and is monitored from the portal without walking to the room. Plus a short method for "the room doesn't work".

Before you start

  • The Teams Administrator and Exchange roles (or a colleague who has them): the room is a resource mailbox.
  • A Teams Rooms Pro licence (or Basic, for fewer than 25 rooms, without the full portal) available to assign to the room account.
  • The room hardware (Crestron, Logitech, Poly, Yealink… on Windows or Android) installed, with the touch console, camera and audio connected, and network (cable rather than Wi-Fi).

1. The resource account

The room is a room mailbox in Exchange Online with a non-expiring password and the Teams Rooms licence. Everything else depends on this.

PowerShell · Exchange Online + Graph
Connect-ExchangeOnlineNew-Mailbox -Room -Name "Madrid Room 2.1" -Alias room-mad-21 -PrimarySmtpAddress room-mad-21@contoso.comSet-CalendarProcessing -Identity room-mad-21 -AutomateProcessing AutoAccept -AddOrganizerToSubject $false -DeleteComments $false -DeleteSubject $false -RemovePrivateProperty $false -ProcessExternalMeetingMessages $trueSet-Mailbox -Identity room-mad-21 -Type Regular # allows sign-in; switch back to Room afterwards if your policy requires itConnect-MgGraph -Scopes "User.ReadWrite.All","Organization.Read.All"Update-MgUser -UserId room-mad-21@contoso.com -UsageLocation ES -PasswordPolicies DisablePasswordExpiration -AccountEnabled:$true$sku = (Get-MgSubscribedSku | Where-Object SkuPartNumber -eq "Microsoft_Teams_Rooms_Pro").SkuIdSet-MgUserLicense -UserId room-mad-21@contoso.com -AddLicenses @{SkuId = $sku} -RemoveLicenses @()

DeleteComments $false and DeleteSubject $false are what make the meeting reach the room's console with the Teams link inside. Left at the defaults, Exchange strips the invitation body and the Join button never appears.

If you use Conditional Access requiring MFA for everyone, the room account won't be able to sign in. The usual approach is a dedicated policy for room accounts: MFA exclusion, but restricted to office IPs or compliant devices.

2. Sign in on the device

On the touch console: More → Settings → admin password → Account, the room's email and password, Exchange/Teams mode (or Teams only if there is no hybrid mailbox). After a restart, the console shows the room name and the day's calendar.

Teams Rooms · touch console › Settings › Account
Email addressroom-mad-21@contoso.com
Supported meeting modeExchange and Teams
Exchange addressautodiscover
StatusTeams connected · Exchange connected · Calendar synced
Save and exit

If it says "Exchange: authentication error" but Teams connects, the mailbox is still of type Room without sign-in allowed, or the password has expired.

3. Peripherals

Settings → Peripherals is where you pick which camera, microphone and speaker the room uses. All-in-one bars (Logitech Rally Bar, Poly Studio) appear as a single device; with a Crestron processor and separate peripherals, each one comes over USB and has to be selected one by one. Practical rule: a single USB cable from the bar or hub to the room PC, with no dubious extenders; half of all "no camera" tickets are a cable.

4. Monitor from the portal

With the Pro licence, the Teams Rooms Pro Management Portal (portal.rooms.microsoft.com) shows every room, its status, peripherals and incidents, and lets you restart and update without visiting the room.

A ticket opens in the portal on its own when a peripheral stops responding or the app has gone silent for a while. Worth looking there before the user tells you.

5. "The room doesn't work": the order

  1. Is the console on, with the right time? A room with the wrong time can't sign in (certificates). Restart from the portal, or a physical 30-second power-off.
  2. Does the calendar appear? If not, it is the account (steps 1 and 2): password, licence, Conditional Access. Try signing in with the room account at outlook.office.com from a laptop: if it asks for MFA or is blocked, there is your answer.
  3. The meeting has no Join button? Set-CalendarProcessing with DeleteComments at $true, or the meeting isn't a Teams one (invitation with no link). Third-party meetings (Zoom, Webex) need direct guest join enabled in the room settings.
  4. No audio, video or screen sharing? Peripherals (step 3): cable, hub, or the device chosen in settings isn't the one plugged in. A device restart re-detects the peripherals.
  5. All fine but remote people can't hear? Network quality: the room on Wi-Fi or on a VLAN with misconfigured QoS. The portal shows each meeting's quality; if it is the network, it goes to networks with the time and the room.

Next steps

  • Put the room account in a group with group-based licensing and its own Conditional Access policy: every new room then becomes creating a mailbox and adding it to the group.
  • Enable automatic updates in the portal on a test ring with one room before the rest.
  • In Level 4 you'll see board and executive support: when a boardroom fails, there is no second attempt.
