Mergers, divestitures and domain changes: what moves and what gets rebuilt, the inventory that avoids surprises, cross-tenant mailbox migration without bouncing replies, OneDrive, the devices, and the runbook for the cutover weekend with the week of support after it.

Qué vas a conseguir

Set-MailUser -Identity "laura.prado" -ExchangeGuid "4f1d2a9c-0b3e-4c8e-9a51-7c2d1e6b3f10" -ArchiveGuid "9b7e3c21-5d4a-4e0f-8c6b-2a1f9d0e7c45"Set-MailUser -Identity "laura.prado" -EmailAddresses @{ add = "x500:/o=ExchangeLabs/ou=Exchange Administrative Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=7a1c0e5b9d2f4c3a8e6b1d0f2a9c4e7b-laura.prado" }
PowerShell · tenant destino · lotes
New-MigrationBatch -Name "ola1-finanzas" -SourceEndpoint "ep-origen" -CSVData ([System.IO.File]::ReadAllBytes("C:\mig\ola1.csv")) -TargetDeliveryDomain "fabrikam.onmicrosoft.com" -AutostartGet-MigrationUser -BatchId "ola1-finanzas" | Get-MigrationUserStatistics | Format-Table Identity, Status, SyncedItemCount, SkippedItemCountIdentity                     Status    SyncedItemCount   SkippedItemCount--------                     ------    ---------------   ----------------laura.prado@fabrikam.com     Synced    84211             0carlos.martin@fabrikam.com   Syncing   301455            12

Get-Recipient -ResultSize Unlimited | Where-Object { $_.EmailAddresses -match "@fabrikam\.com" } | Select-Object Name, RecipientTypeDetails

What you'll get

Moving a company's users, mail and files from one Microsoft 365 tenant to another with a single cutover weekend and a quiet Monday. Knowing from the start what is migrated with tools, what has to be rebuilt by hand and what cannot be moved, so nobody finds out on Monday.

Before you start

  • A clear scenario: merger (two tenants become one), divestiture (part of the company moves to a new tenant, usually with a transitional services agreement, TSA, that sets how long the source keeps providing service) or rebrand (the domain changes tenant).
  • Admin roles in both tenants, activated through PIM (Global Admin and PIM guide).
  • The tools: native cross-tenant mailbox and OneDrive migration needs a Cross-Tenant User Data Migration licence per migrated user; the alternative is third-party tools (for mail, OneDrive, SharePoint and Teams) with their own cost.
  • Repo 29 in the portfolio, *Tenant Separation Cutover Planner*, works as a template for the cutover plan and its dependencies.

1. The inventory

Everything that isn't in the inventory turns up on Monday as a ticket.

PowerShell · source tenant
Connect-ExchangeOnlineGet-EXOMailbox -ResultSize Unlimited -Properties RecipientTypeDetails | Group-Object RecipientTypeDetails | Select-Object Name, CountGet-EXOMailbox -ResultSize Unlimited | Get-EXOMailboxStatistics | Sort-Object TotalItemSize -Descending | Select-Object -First 5 DisplayName, TotalItemSize, ItemCountName Count---- -----UserMailbox 412SharedMailbox 37RoomMailbox 18EquipmentMailbox 3DisplayName TotalItemSize ItemCount----------- ------------- ---------Carlos Martín 48.71 GB (52,302,131,200 bytes) 398112Invoicing 31.02 GB (33,307,705,344 bytes) 521007

2. Identities in the target

  • Every user exists in the target before the cutover, with a temporary UPN on the target's onmicrosoft.com domain (the real domain is still in the source).
  • A mapping CSV is the backbone of the whole project: SourceUPN,TargetUPN,FinalUPN. The mailbox, OneDrive, licence and final-UPN scripts all use it.
  • Users will have to register MFA again in the target tenant: prepare the communication and, where possible, use Temporary Access Pass on Monday so the first sign-in is simple.

3. Cross-tenant mailboxes

The pieces of the native migration: a migration application in the target tenant with consent from the source, an organization relationship in each tenant that allows mailbox moves, and a migration endpoint in the target.

In the target, each user starts as a mail user (MailUser) that becomes a mailbox when migrated. Three attributes must match the source:

PowerShell · target tenant (one user; in practice, from the CSV)
Set-MailUser -Identity "laura.prado" -ExchangeGuid "4f1d2a9c-0b3e-4c8e-9a51-7c2d1e6b3f10" -ArchiveGuid "9b7e3c21-5d4a-4e0f-8c6b-2a1f9d0e7c45"Set-MailUser -Identity "laura.prado" -EmailAddresses @{ add = "x500:/o=ExchangeLabs/ou=Exchange Administrative Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=7a1c0e5b9d2f4c3a8e6b1d0f2a9c4e7b-laura.prado" }
  • ExchangeGuid and ArchiveGuid equal to the source mailbox's: without them, the migration finds no target.
  • The x500 address with the source LegacyExchangeDN: without it, replying to an old email or an old meeting invite bounces with an IMCEAEX error. It is the failure that generates most tickets after a migration.
PowerShell · target tenant · batches
New-MigrationBatch -Name "wave1-finance" -SourceEndpoint "ep-source" -CSVData ([System.IO.File]::ReadAllBytes("C:\mig\wave1.csv")) -TargetDeliveryDomain "fabrikam.onmicrosoft.com" -AutostartGet-MigrationUser -BatchId "wave1-finance" | Get-MigrationUserStatistics | Format-Table Identity, Status, SyncedItemCount, SkippedItemCountIdentity                     Status    SyncedItemCount   SkippedItemCount--------                     ------    ---------------   ----------------laura.prado@fabrikam.com     Synced    84211             0carlos.martin@fabrikam.com   Syncing   301455            12

Batches are created and synchronised weeks before the cutover: they copy almost everything and stay in *Synced*, keeping up to date. On cutover day only the last increment is completed, which takes minutes rather than days. Skipped items (*SkippedItemCount*) are reviewed beforehand, not on Monday.

4. OneDrive, SharePoint and Teams

  • OneDrive: native cross-tenant migration (Start-SPOCrossTenantUserContentMove in SharePoint Online PowerShell, once the two tenants trust each other) moves the whole OneDrive and leaves a redirect in the source. With third-party tools the model is the same: a pre-copy and a delta over the weekend.
  • SharePoint and Teams: site by site with the migration tool, with each site's owners validating before the cutover what is taken and what is archived.
  • Teams chats don't travel: users are warned early so anything important is saved to a channel or a document.

5. The cutover weekend

Runbook · cutover Friday 06/11/2026
ProjectTenant migrationRB-CUTOVER
Tuesday T-3TTL of the MX, autodiscover and SPF records lowered to 5 minutes
Friday 1800: change freeze · user notice: close Outlook and Teams when leaving
Friday 1900: remove the domain from every object in the source (UPNs, proxy addresses, groups) and delete it from the source tenant
Friday 2000: verify the domain in the target (TXT record), set final UPNs from the CSV
Friday 2100: complete the mailbox batches and the last OneDrive delta
Saturday 0900: MX, autodiscover, SPF, DKIM and DMARC pointing at the target; inbound and outbound mail test
Saturday 1100: SSO apps pointing at the target; Conditional Access and Intune active
Sundaytests by a pilot group from each area with their checklist
Monday 0730: on-site support and incident channel open

The domain can't live in two tenants at once, and Entra ID won't let you remove it from the source while any object still uses it. Finding them takes time; rehearse it beforehand with a script:

PowerShell · source tenant · who still uses the domain?
Get-Recipient -ResultSize Unlimited | Where-Object { $_.EmailAddresses -match "@fabrikam\.com" } | Select-Object Name, RecipientTypeDetails

Devices: devices joined to Entra ID and managed by Intune can't be moved between tenants. Their Autopilot registration is deleted in the source, the hash is imported into the target and they are reset (at cutover or in waves, with the data already in OneDrive). Devices joined to an on-premises AD are re-joined to the target's domain.

6. The hypercare week

  • Bounces: message trace in the target looking for 550 5.1.1 and IMCEAEX; each one is usually a missing x500.
  • MFA and first sign-in: Monday's call peak. Temporary Access Pass and a one-page guide with screenshots shorten the queue.
  • Outlook: profiles that need recreating and shared mailboxes that don't appear (permissions are re-applied in the target from the inventory).
  • A daily report to management: incidents open, closed and those that need a decision.
  • When the TSA ends: remove licences and close the source tenant (or the relevant part) with a copy of whatever must be kept for compliance.

Next steps

  • If the tenants will live side by side, cross-tenant synchronisation and Microsoft 365's multitenant organization: users see each other in the directory and in Teams without migrating anything.
  • B2B access during the TSA: users already migrated sign in as guests to whatever still lives in the source.
  • The Level 2 Azure AD Connect guide: in a hybrid migration it is the piece taken apart in the source and rebuilt in the target.
